How do you plan out your work week?

Trying to organise your priust say no to priorities at work?

Let’s turn to a Zen fan, a lazy man and a Prussian soldier for inspiration.

I’ve been looking for tips on organising my workweek.  I’ve found good advice from two experts: Leon Babauta of blog Zen Habits and Tim Ferris, author of The 4-Hour Workweek.   But before we get to them, let’s listen to Field Marshal Helmuth von Moltke (1800-1891).

Famously, von Moltke said: “No operation extends with any certainty beyond the first encounter with the main body of the enemy”.  Or, as it’s become known, ‘No plan survives contact with the enemy’.

At the start of the week write down what you have to do day-by-day.  But remember that this is just a framework.  You’ll have to adapt as new things develop.  With each new morning it’s time re-asses.  That’s when we turn to Babauta and Ferris.

Babauta is all about simplicity:

  • Set your three most important tasks each morning.  Do each one, one at a time. No distractions.
  • Learn to say no, firmly but gently.  You have priorities for a reason.
  • Stick to a five-sentence limit for emails.  Keep it short without being curt.
  • Ferris has a ‘not-to-do’ list:
  • Don’t ramble.  Get to the point and don’t let people wander off topic.
  • Don’t let small tasks take precedence.  It can be OK to return a call a bit late in order to finish a project.
  • Don’t agree to a meeting unless it has an agenda and an end-time.

    Yeap, prioritize can be tricky coz some people don’t understand the meaning of it so whoever is involve with the task you set them to do, you have to give them the exact time and specific instructions. I try to type things down on my calender and set alarm to alert me on specific time for the task 🙂

    My boss is always telling me to prioritise my workload, which is another way of saying “do the important stuff first”. That’s all well and good unless you happen to be at the bottom of the pile waiting…
